Title: Houston Regional Assistant

Position reports to: Houston Program Coordinator

Classification: Part-time (20-25 hours/week)

Job Description

Overall Support

  • Directly support Houston team

●      Respond to General Inquiries (email, phone, and/or answering the door) in a timely manner and according to Girlstart’s communication standards (training provided)

●      Order and maintain inventory of office supplies

●      Assist Houston team with general facilities maintenance including but not limited to tidying office, organizing storage, breaking down recycling, taking out the trash, etc.

●      Process and distribute incoming mail

●      Assist Houston team in preparing for on or off-site meetings including copying materials, setting up tables, ordering food, and cleaning up

●      General clerical tasks including data entry, filing, photocopying, faxing, and running errands

●      Conduct media interviews as needed (training provided)


Program Support & Implementation

Overall Support

  • Support Houston Coordinators with STEM CREW/volunteer documentation including background checks, training certifications, etc.
  • Work with Houston Coordinators to organize, prepare and implement STEM CREW/volunteer trainings and other trainings as needed
  • Assist Houston Coordinators with STEM CREW office hours supervision including unlocking/locking the Girlstart office, answering questions, etc.
  • Support Houston Coordinators with STEM CREW management including updating & overseeing STEM CREW task list

●      Print, assemble, and organize program registration materials including but not limited to After School, Girls in STEM, Summer Camp

●      Help maintain program evaluation documentation including survey entries, taking photos, recording participant quotes, etc.

●      Maintain inventory and order/purchase Houston program materials (After School, Summer Camp, Community STEM)

●      Work with Program Coordinators to cross reference ordered materials versus delivered materials

●      Implement calendar for purchasing materials

●      Work with Program Coordinators to assemble and organize program materials including updating materials lists, reviewing journals, and maintaining pre packing prep lists

●      Coordinate program materials prep needs with Director of Volunteers and Community Relations

●      Maintain snack inventory

●      Support Houston Coordinators with STEM CREW/volunteer recruitment events, online postings, etc.

●      Represent Girlstart in a positive and professional manner at Girlstart programs and events including but not limited to After School, Community STEM, Summer Camp, recruitment events, Houston Game Changers luncheon

After School

  • Substitute at After School as need
  • Support Houston Program Coordinator with photo documentation

Girls in STEM Conference (Sept 22 – 7am-4pm)

●      Support Community STEM & Summer Camp Coordinator with registration process including entering paper registrations

●      Support girl workshop assignments

●      Support communication between Girlstart and GIS families, including confirmation letters/emails, one week reminder postcard/email, GIS questions, etc.

○      Maintain emergency GIS phone

●      Organize girl-related implementation including sign-in sheets, schedules, name tags, etc.

●      Assist Director of Volunteers & Community Relations with managing master supply list

●      Help program team with day of implementation

Community STEM Programs

  • Support and lead Houston Community STEM Training
  • Maintain Girlstart’s Houston Community STEM online request form
  • Respond to Community STEM requests/inquiries timely and in accordance to Girlstart’s communication standards
  • Organize Houston’s STEM CREW Public STEM sign up and work with Houston Program Coordinator to ensure upcoming Community STEM programs are staffed
  • Help plan and document specific Community STEM request activities based on available materials and activities we have previously delivered to Community STEM partner
  • Maintain Community STEM google calendar
  • Create and edit Community STEM curriculum as needed
  • Serve as Girlstart’s representative at Community STEM programs as needed
  • Coordinate with Girlstart’s Communications Intern to promote Community STEM programs on social media as needed
  • Maintain Community STEM activity materials inventory and ensure materials are purchased, packed, and prepped as needed
  • Send reminder and logistics email to STEM CREW and staff
  • Maintain Community STEM checklist documentation process
  • Oversee the quality of Community STEM photos and organize in appropriate dropbox folders

 Discovery Green Requirements

STEM Saturdays (Sept 1-Nov 10, 2018 & Spring dates TBD, 12:30-1:30pm)

  • Ensure that Discovery Green STEM Saturdays are staffed weekly and work in the event that no STEM CREW are available
  • Coordinate STEM Saturday logistics, including materials and parking pass drop off/pick up

Spring Break (March 11-15, 2019, 11:00am-4:30pm)

  • Serve as Girlstart representative for at least 2-3 days
  • Organize activity setup and cleanup
  • Coordinate day of volunteers and make sure activities are running smoothly

Houston Summer Camp

●      Assist Houston Program Coordinator with daily operations at camp including supervising snack/lunch, substitute teach, support guest speakers, and site visits as needed

●      Support Houston Program Coordinator with camper documentation, including registrations, camper paperwork, etc.

●      Help Houston Program Coordinator with communication between Girlstart and summer camp families and STEM CREW

●      Serve as Girlstart representative at Summer marketing and recruitment events


A minimum of 2 years of college courses completed

  • Positive, outgoing, and flexible personality
  • Works well in team environment
  • Experience working with girls helpful
  • Strong problem solving and time management skills
  • Ability to organize, prioritize, and complete tasks
  • Extremely organized with attention to detail
  • Excellent interpersonal and communication skills
  • Ability to work independently and be a self-starter
  • Reliable transportation

Special Requirements

  • Running errands to include purchasing, picking up, and delivering materials
  • Some evening and weekend work may be required
